Booking Terms & Conditions
Please read these terms carefully before booking an adventure, course, guided mountain day or international trip with AZOW Outdoor Adventures.

By making a booking with AZOW Outdoor Adventures, you agree to these Booking Terms & Conditions. Please make sure that you understand the requirements of your chosen activity before confirming your booking.

2. Making a Booking
A booking is not confirmed simply because you have submitted an enquiry.
Your booking becomes confirmed when we have accepted your booking and any deposit or other payment required at that stage has been received.
The person making the booking must be at least 18 years old and, where making a booking on behalf of other participants, must have authority to do so.
The lead booker is responsible for ensuring that all participants included in the booking are aware of these terms and receive relevant information relating to the activity or trip.
Please check your booking information carefully and tell us as soon as possible if anything is incorrect.
3. Prices
The price applicable to your booking will be the price confirmed to you at the time the booking is accepted.
Trip pages will normally explain the principal services included in the advertised price and any significant items that are not included.
Unless expressly stated otherwise, personal expenses, insurance, equipment, meals, transport and accommodation are not included merely because they may be required to participate.
For bespoke bookings, the services and price will be agreed with you before the booking is confirmed.
4. Deposits and Payment
Some bookings require a deposit to secure your place. The amount of the deposit and the date by which the remaining balance must be paid will be provided as part of the booking information.
Deposits represent an advance payment towards the total cost of your booking.
If you cancel, we may retain an amount from payments already made where this is reasonably necessary to cover losses directly resulting from your cancellation, including costs we have already committed to and cannot reasonably recover.
We will take reasonable steps to reduce losses arising from a cancellation where possible.
Where a balance payment is required, it must be received by the date stated in your booking confirmation or invoice.
If payment is not received when due, we may contact you and provide a reasonable opportunity to make payment before treating the booking as cancelled.
5. If You Cancel Your Booking
If you need to cancel, please notify us in writing as soon as possible.
Cancellation takes effect when we receive your cancellation notice.
Depending on when you cancel and the nature of the booking, we may already have incurred costs or committed money to accommodation providers, local guides, transport operators or other suppliers.
Any amount retained following your cancellation will be limited to a reasonable amount reflecting losses resulting from the cancellation, taking into account costs saved or amounts we are reasonably able to recover or mitigate.
Where we are able to resell your place or recover money from a supplier, this will be taken into account when determining any amount retained.
Where specific cancellation arrangements apply to an international trip or package, these will also be subject to any rights you have under applicable travel law.
6. Changes or Cancellation by AZOW
Mountain activities are affected by weather, ground conditions, access, transport, participant ability and other factors that cannot always be predicted in advance.
We may therefore need to make reasonable changes to a route, timetable, activity, accommodation, transport arrangement or itinerary where circumstances make this necessary.
Wherever reasonably possible, changes will preserve the overall nature and standard of the experience you booked.
If we have to cancel a booking before it begins and cannot provide an appropriate alternative, you will normally be offered a refund of payments made to us for services that we will not provide, subject to any applicable statutory rules.
Additional rights may apply where your booking constitutes a package under applicable package travel legislation.
7. Weather and Mountain Conditions
Poor weather does not automatically mean that an activity will be cancelled.
Mountain weather and conditions are part of the environment in which we operate. Routes may be altered, shortened or moved to another suitable location where this is considered appropriate.
Safety decisions are made by the person responsible for leading or instructing the activity and must be respected.
No summit, route, distance or particular objective can be guaranteed where weather, conditions, safety or participant welfare require a different decision.
8. Fitness, Experience and Participation
It is your responsibility to read the trip information and consider whether the activity is suitable for your fitness, experience and abilities.
Where we provide information about difficulty, duration, ascent, terrain or required experience, this is intended to help you make that assessment but cannot account for every individual's ability.
You should answer reasonable questions about your relevant experience and fitness accurately.
If you are uncertain whether an adventure is suitable for you, please contact us before booking.
9. Medical Conditions and Health
You must tell us about relevant medical conditions, disabilities, allergies, injuries or other circumstances that could reasonably affect your safe participation or that we need to consider when delivering the activity.
Providing this information does not necessarily prevent you from participating. It helps us understand whether reasonable planning or adjustments may be required.
You remain responsible for seeking appropriate medical advice where you are unsure whether you are medically fit to participate.

10. Equipment and Clothing
Participants must arrive with suitable clothing, footwear and equipment for the activity and expected conditions.
Where we provide a kit list or specify mandatory equipment, participants are expected to follow those requirements.
If essential equipment is missing or unsuitable and this creates a safety concern, we may need to alter or prevent participation in the planned activity.
Where equipment is supplied by AZOW or another provider, it must be used in accordance with instructions and returned in reasonable condition.
11. Participant Conduct
Participants are expected to behave responsibly and to follow reasonable safety instructions given by guides, leaders, instructors and relevant local providers.
We may prevent or end a person's participation where their behaviour creates a significant safety risk to themselves or others, seriously disrupts the group, involves abusive or threatening behaviour, or involves a serious failure to follow reasonable safety instructions.
Any decision of this nature will be made reasonably and with regard to the circumstances.
12. Outdoor and Mountain Risk
Walking, scrambling, mountaineering, winter mountain travel, trail running and trekking take place in environments that contain inherent risks.
These can include uneven or steep terrain, slips and falls, rockfall, changing weather, snow and ice, cold or heat, watercourses, remoteness and other natural hazards.
We manage activities using appropriate professional judgement, planning and risk management, but it is not possible to remove every risk from an outdoor activity.
Nothing in these terms excludes or limits liability where it would be unlawful for us to do so, including liability for death or personal injury caused by our negligence.
13. Children and Young People
Participants under 18 must be included in a booking made or authorised by a parent or legal guardian.
Additional supervision, consent or participation requirements may apply depending on the activity and age of the young person.
We reserve the right to set reasonable minimum ages for particular activities where this is appropriate because of terrain, duration, technical difficulty or other safety considerations.
14. Insurance
For international trips, participants are responsible for arranging appropriate personal travel insurance unless we expressly state otherwise.
Your policy should be suitable for the destination and activities involved and should provide appropriate cover for medical treatment, emergency assistance, repatriation, cancellation and the altitude or activity level of the trip where relevant.
For UK activities, you should consider whether you require personal accident, cancellation or other personal insurance.
15. International Travel Requirements
Unless expressly included as part of your booking, you are responsible for ensuring that you hold the correct passport, visas, travel authorisations and other documentation required for your destination.
You are also responsible for checking current entry requirements, health requirements and official travel advice relevant to your circumstances.
Requirements can change and may depend on your nationality, personal circumstances and travel history.
16. Flights and Independent Travel Arrangements
Where flights or other transport are not expressly included in your booking with us, they are your own independent arrangements.
You should avoid making non-refundable independent travel arrangements until your trip has been confirmed and you are satisfied with the applicable booking conditions.
Where transport is expressly included in the AZOW booking, different legal obligations may apply depending on the nature of the overall arrangement.
17. Local Guides and Other Suppliers
International and multi-day adventures may involve accommodation providers, transport operators, local guides, mountain professionals and other suppliers.
We select and work with suppliers as appropriate to the trip. The precise responsibilities of AZOW and individual suppliers may depend on the nature of your booking and applicable law.
Nothing in these terms is intended to remove any responsibility that the law places on WGR Outdoors Ltd where we are legally responsible for the performance of services forming part of your booking.
18. Package Travel
Some combinations of travel services may constitute a package or linked travel arrangement under applicable UK travel law.
Whether a particular booking constitutes a package depends on the services included and the circumstances in which they are offered and sold.
Where your booking is a package within the meaning of applicable legislation, you will receive the rights and protections required by law and any additional information that we are required to provide.
Nothing in these Booking Terms & Conditions is intended to exclude, restrict or waive rights that cannot legally be excluded under package travel legislation.
19. Events Beyond Our Reasonable Control
Occasionally an adventure may be affected by events outside our reasonable control.
These may include severe weather, natural disasters, wildfire, avalanche conditions, transport disruption, strikes, civil unrest, government restrictions, border closures, epidemics or other exceptional events.
If this happens, we will take reasonable steps to manage the situation and communicate significant changes to you.
Your rights and our obligations will depend on the circumstances and any applicable consumer or package travel legislation.
20. Minimum Numbers
Some scheduled trips may require a minimum number of participants in order to operate.
Where this applies, we will make this clear where reasonably practicable and will tell you if a trip cannot operate because the required minimum number has not been reached.
Where we cancel for this reason, we will offer the options and refunds required by the contract and applicable law.
Different statutory rules may apply where the booking is a package.
21. Liability
We will provide our services with reasonable care and skill and in accordance with the obligations that apply to us by law.
We are not responsible for losses caused solely by your own acts or omissions, or for independent arrangements that do not form part of our contract with you, except where the law provides otherwise.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
Nothing in these terms affects your statutory consumer rights.
22. Complaints
If a problem arises during an activity or trip, please tell us or the relevant trip leader as soon as reasonably possible so that we have an opportunity to address it.

We may update these Booking Terms & Conditions from time to time.
The terms applying to a booking will normally be those provided or made available when that booking is confirmed, together with any changes subsequently agreed or permitted by law.
Updating the terms on our website does not automatically alter an existing booking contract.
25. Governing Law
These terms and our contract with you are governed by the laws applicable in England and Wales, subject to any mandatory consumer protections that apply to you.
Nothing in this section is intended to deprive a consumer of protections or rights that cannot lawfully be excluded.
